A mountain bike shop on the Ligurian coast with two companies behind one counter: rentals, guided tours, a workshop and a shop floor. Who they are, what they use and how we build it with them.
At a glance
Finale Ligure is one of Europe’s best known mountain bike towns, with trails that run from the hills down to the sea. Evolve has ridden, rented and repaired bikes there for fourteen years. Riders come in for a bike, a guided day on the trails, a service or a new part, often all four in the same week.

Before
Evolve grew busy the way many good shops do: on word of mouth, Instagram and Google. Every part of the day lived in a different place, and the counter held it together.
Every rental was typed into the same list that held the fleet. Guests could not book online; they wrote or walked in.
The workshop, the stock and the counter sales ran in a separate program that never saw a rental.
Guides and drivers lived on a Google Sheet, the weekly schedule was built by hand and holidays sat on a sheet for the year.
Rental contracts were on paper, and orders for new stock were worked out by hand.
What Evolve uses
Evolve uses most of Outdoor Grid, because a shop that rents, guides, drives and repairs touches most of it before lunch. Some parts are in place; others are rolling out now.

At the desk the team hands a bike over and takes it back on one sheet: battery, extras and any damage. A damage note opens a workshop job by itself.
Mechanics work from a job board, scan the parts they fit and log quick jobs with big buttons. The jobs from the old program came across.
Classic and Backcountry tours, half or full day, sit on one calendar with their guide and van. Shuttles run as part of the tour, not as seats sold on their own.
Clothing, accessories and parts are counted in one stock list, and the counter sells from the same list.
Who is working when: guides, drivers, mechanics and the desk, with the year’s holidays in the same place. The rules are being set with the shop now.
Each of the two companies gets its own Stripe account, so a rental is paid to the rental company and a tour to the tour company. Deposits and refunds sit on the booking.
Answers guests on WhatsApp first, then Instagram and Messenger, from the shop’s own prices and what is free. Email is coming soon. The team can take over any chat.

The Today board shows what goes out, what is late, what comes back and any crew gaps for the next three days.
Morning
Each rental is handed over on its sheet, with battery, helmet and extras checked as the guest waits.
Late morning
Riders meet their guide, and the van that takes them up the hill is already on the departure.
Afternoon
Bikes come back on the same sheet. A broken part becomes a workshop job, so it never goes back out by mistake.

Guests booked for tomorrow get their reminder email, in Italian or English.
19:30
Counter sales, rentals and tours sit together, so the day’s takings are on one screen.
How we work together
Before a screen is drawn we sit with the people at the desk, in the workshop and on the tours, in Finale, and ask what job they need done.
Anyone on the team can leave a comment on the screen they are using. It reaches us as it is, with the page it came from.
Past rentals and workshop jobs were brought across from the old systems, so the team starts on its own data, not an empty screen.
The rate at which Oliver and his team built this is incredible, and the attention to detail is really appreciated. We’ll not only be using this but also recommending it to many people I know.
